Time blocking

Drag tasks onto your calendar, move and resize blocks, and control whether resizing updates the estimate.

Time blocking means giving each task its own slot on your calendar, and in Planzer you do it by simply dragging tasks onto the calendar.

Block time for a task

  1. Make sure the calendar is visible. Use Focus calendar or Split view in the header.

  2. Drag a task from a day column, your Inbox or a connected tool onto the calendar.

  3. Drop it at the time you want to work on it.

The block snaps to 15-minute steps and is as long as the task’s estimate. If the task has no estimate, it gets a 1-hour block. You can also drop a task in the All-day row at the top.

The block is created as an event in the calendar you plan tasks in, so it also shows up in Google Calendar, Outlook or iCloud.

Move and resize blocks

  • Move: drag the block to another time or day.

  • Resize: drag the bottom edge of the block to make it longer or shorter.

  • Remove: open the task and choose Remove from calendar from the ⋮ menu. The task stays on your list.

On a phone or tablet, press and hold a task or event to drag it. Swipe the calendar left or right to change day or week.

Resizing updates the estimate

When you make a task’s block longer or shorter, its estimate changes to match, and you’ll see a message like “Estimate updated to 1:30” with an Undo button.

To turn this off, go to Settings → Calendars and switch off Update estimate when resizing.

The now line

A line across today’s column shows the current time, so you can see at a glance what’s next and whether you’re running behind.

Calendar views

  • Focus calendar shows a full week of calendar.

  • Split view shows your day columns and the week’s calendar side by side.

  • Focus tasks gives most of the space to your task columns, with today’s calendar alongside.

On a phone, the Calendar tab always shows one day at a time.

Let Planzer do it for you

Don’t want to drag tasks one by one? In Plan my day, choose Plan it for me and Planzer fits your selected tasks into the free time between your meetings.

Other calendar settings

In Settings → Calendars you can also choose between 12-hour and 24-hour time under Calendar time format, and set a default Calendar reminder for your events.
