Click any task to open the task window, where you can add subtasks, estimates, deadlines, priorities, tags and more.
Subtasks
Break big tasks into steps with Add subtask. Tick them off as you go.
Pro: Click Break down with AI and Planzer suggests subtasks for you.
Estimate
Pick how long the task should take, from 30 minutes up to 12 hours in 30-minute steps. Estimates are used to plan your day, to show when you’ll be done and to compare with the time you actually track.
You can also change the estimate by resizing the task’s block on the calendar.
Deadline
Click Set deadline and pick a date. The deadline is separate from the day the task is planned for: you can plan a task for Monday that’s due on Friday. Overdue deadlines are marked as Overdue.
Priority
Choose Urgent, High, Medium, Low or None. Priority helps Plan my day decide what to suggest and in what order.
Tag
Give the task a tag, such as #deep-work or #errands. Each task can have one tag. Create and edit tags from the user menu under Tags.
Project and milestone
Add the task to a project, and optionally to one of that project’s milestones.
Description
Write notes with formatting, lists, quotes, code, tables and links. Press ⌘/Ctrl + Enter to save.
Waiting and blocked
Mark as waiting lets you note who or what you’re waiting on, for example “Sarah for design review”.
Blocked by links the task to other tasks that need to be done first.
Reminders
Click Add reminder to be notified 5 minutes up to 1 day before the task, or at a custom time. Choose whether it arrives by Email, Push or Both.
Files
Pro: Click Add file to attach files up to 5 MB each.
More options
Open the ⋮ menu at the top of the task window to:
Snooze the task to Tomorrow, This weekend, Next week or Someday (Someday moves it to your Inbox). Press S as a shortcut for Tomorrow.
Remove from calendar
Duplicate the task
Delete the task
Press Esc to save and close.
